How to change group process for lack of motivation in the group as your facilitator

Introduction

A group refers to the collection of individuals that shared common interests or experiences. Motivation is a determining factor for success in a team. A successful group will need motivation from the start to the end. As a facilitator, it is necessary to understand that motivation should be an ongoing process. When working as a group, it is necessary to get the members involved and also seek their opinions. Motivation in a group is an essential factor in determining the success of that group. The group process refers to the understanding of the behavior of the people in groups such as the processes used in solving problems, tasks groups, or processes used in making decisions (Schwarz, 2002).

A group normally develops relationships that generate energy or identity that is different than when individuals are by themselves or with others. When a group is working together, its main purpose is achieving the purpose it was formed to achieve. Groups are different; however, the success of any group usually depends on the awareness of the interpersonal interactions and structures. In this paper, it is a proposal of a group that I would like to lead.

Changing group process

It is better to understand that there are some groups that have difficulty being motivated. So as to have an effective group, motivation should be an essential element of consideration. One thing to consider when developing a group is to ensure that you understand what the group expects from its members. That consists of ensuring that everyone is on the same page as everyone and prevent any miscommunications or disagreements (Braun et al. 2000). The proposal is about a group that will have to accomplish a certain task and so as to accomplish this task, motivation will be very important. Therefore, the development of the group process will follow some guidelines. In a group process, there are several elements that influence group proceeding. These elements include participation, decision-making, communication, process design, and role fulfillment.

Facilitating involves the process of helping the people to explore, to learn, and to change. The facilitator tends to plan events with different activities that help the group to achieve its purpose and the stated objectives (Braun et al. 2000). As the facilitator, my position tends to offer me a great opportunity of observing how things are happening in the group. In this assignment, I will have to work effectively with the group, which means that I will recognize that, I and the group work as a system. In developing the group so as to ensure motivation that will lead to effective problem solving, there are seven steps to follow as discussed below.

Focus on the purpose

When developing the group, the first step as the facilitator is to ensure that the group has a clear purpose. The step tends to be the foundation of the group’s work, and it is the work of the facilitator. As the facilitator, it is my responsibility to assist the group in achieving its reason and purpose of being (Vick, 2015). Therefore, during the development of the group, it is important to identify the purpose clearly. As the group aims at achieving a particular objective, it is the responsibility of the facilitator to make sure that the group members are aware of the purpose they need to accomplish. Identifying the purpose is an important factor that motivates the group members to complete the job as they are aware of what they are expected to do (Limayem&DeSanctis 2000).

Plan process

The second step in the group process is the planning process. So as to achieve the objective of the group, the facilitator needs to have a plan on how the group will achieve the purpose. The group members need to know that there is a plan that they can follow so that they can accomplish their mission (Schwarz, 2002). Without a plan, the members of the groups are not aware of what to do and what time to do it. During this step, a facilitator can bring in a framework or model to use on the kind of work that the group is doing.

In this proposal, the mission is to solve a problem; thus, as a facilitator, I can develop a problem-solving model that will help the group to solve the issue. It is my responsibility as the facilitator to identify how to execute the work under the model. The planning process also includes a schedule for the group. It is necessary to create, agree on, and stick to the schedule that will work for everyone in the group (Braun et al. 2000).  The schedule will be given to every group member so that they can know what they should be doing at a particular time. It is also important to schedule regular group meetings to ensure that everyone in the group is motivated and is working towards their individual goals as being part of the whole.

Gather data

The third step in the group process is gathering data. Data refers to information not yet manipulated, formed, or understood(Vick, 2015). In this case, the objective of the group is solving a problem; however, one major challenge that exists in the group is the lack of motivation (Vick, 2015). Since there is a lack of motivation, the facilitator should look at the issue and determine the appropriate method of dealing with the issue. Gathering data regarding the members of the group is an important factor of consideration when developing a group as that helps to ensure that I get a deep understanding of the members of the group.

When changing the group process, it is necessary to start with knowing each other. The data gathered can help me understand the group members and know what they need so that they can be effective in their jobs. As the facilitator, I will consider taking time in meetings so as to know one another as that will help to understand the views of people (Limayem&DeSanctis 2000). In this way, it helps ensure that I am aware of the different needs of group members and what they value. It is the responsibility of the facilitator to help the group to increase effectiveness through improving its process and structure (Schwarz, 2002).  Thus, ensuring that there is sufficient data regarding the members of the group can help determine what elements will motivate them to perform better in their jobs.

Process information

It is important to process the information gathered. Such information can help to prepare the motivation strategies that will work well for the group members. With a better understanding of the different needs of employees, it helps to know what factors motivate them and which factors do not motivate them (Lee, 2014). Helping the group members to understand what is expected of them can be effective in ensuring that they have the motivation of completing their tasks. From the data gathered, I can be able to make some suggestions that can help the group to be effective in completing its task. L

Listening to the views of the members and also remaining curious on how their reasoning differ from others can help in ensuring that the group does engage in productive activities (Schwarz, 2002). Therefore, so to lead the group effectively, I will have to make sure that I process the data that I collected from the group and determined what changes should be made so that to have a productive group. Processing the information is an important step in the group process as it helps the facilitator engage in tasks that will make participants work in an effective way. When using the information collected, it will help know what methods that the group will have to consider so as to increased motivation of the members and ensure that they complete the group’s mission.

Examine options

The next step to take when changing the group process as the facilitator is through examining the different options available. As the facilitator, I will engage in this step through developing or even identifying the options or the solutions best available for the group (Vick, 2015). The group will have to assess the value of the options available in solving the issue at hand. In this case, I will provide the group with some options that can apply in their case and they will need to determine which options best suit them. The main problem is that there is a lack of motivation in the group and as a result, it is affecting the performance of the group members. The group needs motivation so as to perform to the expected standard.

It is important to know that employees are not usually motivated in the same way as what motivates one person may not motivate the other. Therefore, so as to help motivate the employees, I will provide the employees with the different options available that can motivate them so that they can determine which ones work for them. The group members will have to examine the options so as to see what options provides the best potential for success. A facilitator normally brings knowledge to the group; therefore, when providing support to the group members, it provides them with a chance of understanding they need and what they should do so as to accomplish the mission of the group (Schwarz, 2002).

Make decision

In the group process, the sixth step involves making a decision. With the information and the understanding that the facilitator provides to the group, it will be possible for the group to make a decision (Vick, 2015). When discussing making a decision, it involves the act of selecting a course of action by determining what to do. In changing the group process because of lack of motivation, all the above steps will help the group members to make a decision. With the help that a facilitator offers, it can guide the members to determine what course of action to take.

Having an understanding of what factors motivate the employees, it is possible for the organization to put in place measures that will ensure that employees feel motivated to perform well. Such a decision can enable the employees accomplish their mission and be very productive in every role that they take. The lack of motivation in a group tends to denote deficiency or absence in the desire or interest (Berger et al. 2007). So as to enhance motivation, it is essential to make a clear connection between the members of the group and the work essential to address them.

Document results

The final step in this change group process is documenting the results. It is a step that many focus when developing a group process. As the facilitator, documenting the results after it is proven that the change is function helps with the stabilizing and standardizing the process (Vick, 2015). It is also important to document the results for historical purposes. In case such an issue arise, it will be possible to review the document and see the steps that were taken and how the group learned from it.

When considering the above steps, it can help the group to achieve motivation and manage to complete the tasks assigned to them in an efficient and effective manner. A facilitator needs to understand the different issues in the group and how they affect the behavior of the group members (Berger et al. 2007). A better understanding of factors that motivate the group members will ensure that I help the group manage the major issues that it is facing and also motivate them to perform better.  As the facilitator, when helping in designing a group process, it is always important to share all the information that is relevant to the issue (Schwarz, 2002). That will include your assumptions and feelings on the issue. Providing valid information means that other people have a clear understand of the information that you are sharing with them. The group members need to understand clearly what information I am giving them so that the information may have a positive impact.

Conclusion

A group process is the means in which the members of the group interact, handle problems, make decisions, and also develop roles.  A well-facilitated group may serve as the simulation of the relations in life outside the group with the intent that the group model real-world relationship and also help people to transfer the skill they learn in the group to the relational experiences with others outside the group. An understanding of the behavior of members of the group can help ensure that the appropriate methods of motivation are implemented. When a group lacks motivation, there are high chances that the group will not be able to achieve its objective. However, with the help of a facilitator in the group, it can be of great help to the group. As a facilitator, it is my role to assist the members in the problem they are having. Therefore, developing a group process can help solve the problem through ensuring that the needs of the group members are addressed.
